Built for Districts: Managing After-School Programs Across Multiple Schools

Bright After School was designed from the ground up to support district-level oversight with school-level autonomy. Here's how multi-site management works.

Most after-school software is built for a single school. Add a second location and you're managing two completely separate systems, two sets of logins, two different databases of families.

Districts with multiple after-school programs told us this was their biggest operational headache. So we built Bright After School with multi-site management as a core feature, not an afterthought.

The three-tier structure

Bright After School organizes access into three tiers:

District Administrators get a bird's-eye view of every school in the district. They can see enrollment numbers, real-time check-in status, and program activity across all sites from a single dashboard. They manage school-level admin accounts and can configure district-wide settings.

School Administrators see their school's dashboard: enrolled students, today's attendance, recent check-in activity, and their roster of authorized parents. They handle day-to-day program management — adding students, verifying parent identity documents, managing their program schedule.

Parents see only their children. They can view their child's check-in status, update their pickup information, manage their PIN and QR code, and see a log of recent pickup history.

No more toggling between systems

District admins no longer need to log into five different platforms to understand what's happening across their programs. One dashboard, one login, one source of truth.

When a parent transfers from one school to another within the district, their verified identity moves with them. No re-verification required.

Real-time visibility

The district dashboard updates in real time as children check in and out. If a program director needs to know how many students are currently in the building at Lincoln Elementary, they can see that instantly — without calling the school or waiting for an end-of-day report.

What districts asked us to build next

Based on conversations with district administrators, the features we're most focused on next are:

  • Cross-program billing and invoicing at the district level
  • Incident reporting and communication tools
  • Integration with student information systems (SIS)
  • Staff certification tracking
